Transcripts and Grade Reports

The Office of the Registrar maintains student academic records. These records show all coursework for which students are registered as of the end of the second week of each term and the grades and symbols awarded for that work. Students may obtain an unofficial copy of their transcript at no charge at the Office of the Registrar or on-line.

What is an Official Transcript?

Official transcripts are certified and signed by the University registrar. They can be sent directly to you or another recipient at your request.

A paper transcript is "official" only as long as it remains in its sealed white envelope. Do not open the sealed envelope if you are forwarding your transcript to another party (an institution, employer, or other person). Open the envelope only if you have ordered the transcript for personal use. Multiple paper transcripts (each in its own sealed white envelope) sent to a single address will be enclosed in a manila envelope that can be opened.

An electronic (secure, certified PDF) transcript is “official” in its electronic form as long as it is not altered. Each time the file is opened, it will be certified electronically (internet connection required) to ensure it has not been altered. A printed copy of a PDF transcript is not official.

While electronic transcripts are widely accepted, confirm with your recipients that they will accept this format before ordering.

NOTE:  Official, certified transcripts will be sent at the student’s written request to whomever they designate. Telephone requests are NOT accepted.

Before you Request an Official Transcript
  • Clear any financial holds from your record
    According to University policy, official transcripts will not be issued for you if you have certain types of holds on your record. You can review your holds online.
  • Be sure that grades and degrees have posted
    If you need recently-awarded grades or degrees to appear on your record, check your unofficial transcript (see option 1 below) to be sure that everything has posted. Official transcript requests will not be held for grades or degrees.

Priority Overnight:

  • Next-business-day delivery by 3 p.m. to most U.S. addresses if order is received by 2 p.m. central time.
  • This service cannot be delivered to P.O. boxes, A.P.O boxes, or F.P.O. boxes.

$15 each transcript plus $15 delivery fee for each address

International Priority:

  • Orders received by 2 p.m. central time will be sent by International Priority service. Delivery time is approximately 2-5 days.

Electronic OFFICIAL Transcript (secure, certified PDF)

  • Typically processed within one hour, up to one business day
  • Download notice sent to recipient(s) automatically when processing is complete
  • Orders for electronic transcripts placed during regular system maintenance (Sundays, 6 a.m.-noon) will be accepted, but not processed until the next business day
  • A printed copy of a PDF transcript is not official.

While electronic transcripts are widely accepted, confirm with your recipients that they will accept this format before ordering.

Requesting a Transcript by “Mail”

1- PDF form
Complete the Official Transcript Request form. Send the form, with payment, to the address indicated.

2- Letter
Or, you may send a letter to request a transcript. The letter must include all of the following information:

  • Your full name and all names used while attending the University of Minnesota.
  • Your student ID number or social security number.
  • Your date of birth.
  • Dates of attendance at the University.
  • The address(es) where you want the transcript(s) sent.
  • The recipient's phone number, if you are requesting Priority Overnight or International Priority service.
  • Your signature.
  • Your daytime phone number, e-mail address, and/or mailing address, should we need to contact you about your request.
  • The type of transcript service you're requesting (see service types above), plus payment.

3- By fax
Fax a completed Official Transcript Request form or letter to 218-281-8549. Fax requests must be paid by credit card (see details above).

4- In person
Pick up and/or submit a request form at the Office of the Registrar. You must present a picture ID (University of Minnesota ID card, driver's license, state ID, or passport) to request an official transcript in person.

We do not accept phone requests for transcripts

To protect the privacy of student academic records, we require that requests be submitted by fax, by mail, in person, or via the secure online form.

Payment Methods
  • Payment for online orders and requests made by fax must be made by credit card.
  • Mail requests can be paid by check, money order, or credit card.
  • In-person requests may be paid in cash (U.S. funds), check or money order. Charging to an active student account is no longer an option for payment.
  • When paying by credit card, include your type of credit card, credit card number, the expiration date, your name as it appears on the card, and your signature. We accept Visa, MasterCard, American Express, Diner’s Club, and Discover.  Scanned signatures are not accepted.
  • Make checks or money orders payable to the University of Minnesota.
  • Requests will not be processed without payment.

Consider Sending a Certification Letter Instead

If your recipient did not specifically request a transcript, a certification letter may be sufficient (Free 2-3 business days service; same day service $10).

A certification letter provides official proof of your University enrollment. You may need to certify your enrollment for student loan deferment, insurance discounts, or for requests related to your scholarships or your visa.

A certification letter can include any of the following:

· Your attendance (for all terms or only the most recent term)

o For each term, your enrollment will be listed as full-time, 3/4-time, half-time, less than 1/2-time, or no units

· Cumulative GPA and credits (for all terms or only the most recent term)

· Expected graduation date (provided by the student)

· Degree/Certificate awarded

· Degree GPA (GPA as of the date your degree was conferred; available only for undergraduate degrees)
